Position Summary

  • To provide Human Resources (HR) process administrative support within the defined scope of responsibility, ensuring that the HR function proactively enables and supports the achievement of business objectives.
  • Person should be responsible to maintain product quality and should ensure that requirements of QMS are fulfilled .

Accountabilities

Major Action: HR Administrative Support

House-keeping and Office Maintenance

Responsible in housekeeping and administration offices maintenance and to ensure all offices, training rooms, canteens are kept in orderly manner. In the area of housekeeping, the incumbent shall be responsible for the proper administration of the 5S program for the administrative areas in the mill. In this regards , the incumbent is responsible for main office, Canteens, training and meeting room, company library, electronic display boards, visitors boards, notice boards, office equipment.

Office Administration

  • Ensure administrative support of office facilities, support services and equipment are provided effectively
  • Coordinate and/or Supervise with employees and/or external contractors to provide office services and support.
  • Administering employee uniforms, PPE, medical books, annual, medical and other leave records both for permanent non-confidential staff and contract packers.
  • Pantry, tea lady and company’s refreshments administration.
  • Handling and managing company’s transport, usage and maintenance arrangement.

Training Administration

  • Provide administrative support of Training activities and records

Recruitment Administration

  • Provide administrative support of Recruitment activities

HRIS Administration

  • Provide administrative support to ensure that employee records/data are updated.

C&B Administration

  • Provide administrative support to ensure that employee benefits are provided as per contractual entitlement
  • Provide administrative support to ensure that company assets pertaining to employee benefits are working effectively

Statutory Compliances

  • Statutory compliances for the mill.
  • Manage company contracted driver services, labour services, canteen services, house-keeping services and security services.
  • Manage relevant service agreements and make necessary arrangements for the processing of payment of the contractor’s services.

  • Effectiveness, efficiency and on-time delivery of Administrative support systems.

Major Action: Learning and Development

  • Identifies learning and development needs of operators in conjunction with line managers under the direction of Mill HR Business Partner.
  • Initiates, organizes and undertakes training in the form of courses, workshop and seminars.
  • Make annual Training Plan and obtain the approval of the Mill HR Business Partner and the mill management.
  • Direct planning and organization of all workshops that are offered.
  • Being instructor for specific training courses such as: induction.
  • Design and implement assessment programs to identify management potential and training needs under the direction of Mill HR Business Partner.
  • Formulate and monitor the training budget.
  • Interact with external training consultants to identify course objective and content.
  • Evaluate training program.
  • Responsible to administrate and update all training data such as employee learning and development. Record, certificates.
